Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Cookies

If you leave a comment on our site, you may opt in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Who we share your data with

If you request a password reset, your IP address will be included in the reset email.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Visitor comments may be checked through an automated spam detection service.

Newsletter subscriptions and MailerLite

When you subscribe to ANM’s newsletter, we collect your email address, your name if you provide it, your newsletter preferences, the date and source of your subscription, and the consent information needed to manage your subscription.

We use this information to send ANM news, practical resources, events and opportunities by email; manage delivery and bounced messages; keep an appropriate record of consent; and process unsubscribe requests. Our lawful basis for sending newsletter marketing is your consent. You can withdraw that consent at any time without affecting the lawfulness of processing that took place before you withdrew it.

Our email-delivery provider

ANM uses MailerLite to create and deliver newsletter campaigns and manage the campaign mailing list. MailerLite processes subscriber information on ANM’s behalf as an email-delivery service provider. Information shared with MailerLite may include your name, email address, subscription status and preferences, together with delivery, bounce, open and link-click information where those campaign-measurement features are enabled.

MailerLite and its authorised subprocessors process information under MailerLite’s contractual and data-protection terms. Where international transfer rules apply, MailerLite describes the safeguards it uses in its Data Processing Addendum. You can read MailerLite’s Privacy Policy and Data Processing Addendum.

Retention and unsubscribing

We keep your active newsletter details while you remain subscribed. If you unsubscribe, we may retain the minimum information needed to record and respect your opt-out, prevent further marketing emails and demonstrate that we acted on your request, unless we are required or permitted to retain information for another lawful reason.

You can unsubscribe at any time by using the unsubscribe link included in a newsletter. You may also ask ANM to provide, correct or delete your newsletter information, or object to or restrict relevant processing, by emailing hello@anm-africa.org or using our Contact Us page. Your data-protection rights depend on the circumstances and may be subject to legal exceptions.

Forms, enquiries and membership

When you submit an ANM form, we collect the information you enter, such as your name, contact details, organisation, location, interests, answers, preferences and consent choices. We use this information to respond to you, review applications, administer membership or programme relationships, keep appropriate consent records and protect the website from misuse.

ANM uses SureForms to operate forms on this website. Form entries are managed within ANM’s WordPress website and may also be handled by the hosting, security or email services needed to deliver and protect the website. We do not use a membership or programme form to add you to marketing emails unless you have made a separate newsletter choice.

We keep enquiry, application, membership and programme records only for as long as reasonably necessary for the relationship, ANM’s administration, safeguarding, legal obligations and the handling of questions or complaints. Retention periods can differ according to the purpose of the form and the nature of the relationship.

Donations and monthly support

ANM uses Stripe to process online payments and recurring support. Stripe collects payment and billing information on its secure pages. ANM may receive your name, email address, payment or subscription reference, supporter tier, amount, date and payment status so that we can administer your support, send relevant acknowledgements, maintain financial records and handle refunds, disputes or failed payments. ANM does not receive your full card number or card security code.

Stripe processes personal data under its own Privacy Policy. You can manage an active subscription through the secure Stripe customer portal where that option is provided.

We keep payment and accounting records for the periods required by applicable financial, tax and legal obligations. A cancelled subscription does not automatically remove records that ANM must retain for those purposes.

Contributors, community stories and child-related content

ANM may invite adults, families and community members to contribute articles, reflections, quotations, photographs, audio, video or other lived-experience material. We may collect the contributor’s name and contact details, their relationship to any child described, information about their authority to make decisions, the submitted material, editorial correspondence, identity and publication choices, approval records, the child’s views where appropriate, and any correction, withdrawal or safeguarding requests.

Child-related material may include a child’s name or pseudonym, age or age range, image or voice, experiences, communication and support preferences, and relevant family, community or country context. It may also contain sensitive information about disability, autism, ADHD, health or support needs. Contributors should provide only information needed for the agreed item and must not identify another child or private individual without appropriate authority.

Purposes and lawful basis

ANM uses this information to assess and edit material; check accuracy, authority, consent and the child’s views; reduce privacy and safeguarding risks; publish only the exact content, identity details and channels approved; respond to corrections or withdrawal requests; and keep an appropriate record of editorial and permission decisions. We do not use a contribution to add anyone to marketing, membership or programme communications without a separate choice.

ANM records the appropriate lawful basis for each use. For optional public storytelling, this will normally include consent for the specifically approved publication and legitimate interests for proportionate editorial administration, security, handling complaints and keeping limited evidence of decisions, where those interests are not overridden by the rights and best interests of the contributor or child.

Sensitive information and children’s participation

Information about disability, autism, ADHD or health may be special category data. ANM must identify both a lawful basis and an additional condition before using it. Where ANM relies on explicit consent, the approval record will identify the sensitive information and the specific publication uses authorised. A general contributor agreement is not blanket permission for every future story or sensitive detail.

ANM seeks recorded approval from a parent, guardian or other person with appropriate authority and, wherever a child can understand and communicate a view, involves the child in a way suited to their age, understanding and communication method. A child will not be pressured. ANM will not publish identifying or intrusive material if the child refuses, appears distressed, or gives an unclear response that makes publication unsafe. Permissions may be reviewed as the child grows or circumstances change.

ANM may use a quick approval record for one low-risk quotation or minor update, a batch schedule for several fixed final low-risk items, and a full review for substantial stories, identifying photographs, video or voice, detailed sensitive information, fundraising or other higher-risk uses. Material changes, new channels or new purposes require a new decision.

Publication, retention and withdrawal

Approved material may appear only in the channels recorded in the approval. Online material can be viewed, copied or shared worldwide, and ANM cannot guarantee recovery of copies made by others. ANM therefore uses the least identifying version that can still serve the agreed purpose. Partner re-use, paid promotion, fundraising use or a new channel must be specifically approved.

Private drafts, contact details and approval records are restricted to authorised people and service providers who need them for editorial, safeguarding, website, storage or communications work. Unapproved drafts and unnecessary identifying information are not kept longer than needed for the decision unless required for a complaint, safeguarding concern or legal issue. Approved material and its permission record may be kept while published. After removal, ANM may retain a limited record for as long as reasonably necessary for accountability, safeguarding and disputes.

A contributor, child where appropriate, or person with lawful authority may ask ANM to correct an error, change a future permission, withdraw consent where consent is the basis used, or remove material. ANM will stop new uses as soon as reasonably possible and remove material from channels it controls where required. Withdrawal does not make earlier consent-based processing unlawful, and ANM may not be able to recover copies already downloaded or shared by others.

Storage, access and retention

ANM stores contributor, permission and child-content records in organisation-controlled systems with access restricted according to role and operational need. These records must not be kept as ANM records in personal email accounts, personal cloud storage, private messaging accounts or personal devices.

Permission and editorial records are stored separately from safeguarding records. Safeguarding concerns and incident records are held in a restricted location and are accessible only to specifically authorised safeguarding and governance personnel.

Approved content and its permission record may be retained while the content remains in authorised use. After the content is removed, ANM may retain a limited permission and decision record for up to six years where this is reasonably necessary for accountability, complaints, safeguarding or legal claims.

Unless a longer period is justified:

  • rejected or abandoned submissions are deleted within twelve months;
  • unnecessary raw and duplicate working media are deleted within ninety days;
  • access and permission-change logs are retained for up to two years; and
  • Board minutes and formal governance decisions are retained for at least ten years.

Safeguarding records are managed under ANM’s separate safeguarding-retention procedure and are not subject to routine deletion where continued retention is necessary to protect a child, respond to an allegation or comply with a legal or regulatory responsibility.

ANM reviews access permissions quarterly and conducts an annual retention and deletion review. Information that is no longer required is securely deleted or anonymised. Retention may be extended where a complaint, safeguarding concern, legal obligation or active investigation requires it.

You may ask for access, correction, deletion, restriction, objection or data portability where those rights apply, or raise a privacy or safeguarding concern.
